SSC DATABASE EXPORT DATA TABLE FIELDS AND REPORT GENERATION

The Surviving Sepsis Campaign Database offers some report generation capabilities but advanced data analysis must be accomplished by exporting data from the database to Microsoft Excel. To view the field descriptions and coding information of the database click here.

EXTENDED ANALYSIS

You can use the export files for your own extended data analysis.  For your internal use, you will want to preserve the internal patient ID to connect to other internal systems. (For transmission of files to the Surviving Sepsis Campaign, you will want to drop the internal patient ID to preserve patient privacy.)  The next section details the appropriate option.

Steps

Create files

1. At the bottom of the main screen, in the Data Management section, click on Export and Transmit Data.
2. At the top of the Export and Transmit to the Surviving Sepsis Campaign screen is the Export Data section.  Clear the Anonymize Data checkbox.  This will preserve your internal patient ID in the export file. 
3. Click on Export Data.  This will create three files with today’s date in the Export Path that you can access with MS Office applications or any other suitable application.
 

Analyze with Excel

1. The primary file for analysis is Chart__MemorialHospitalofRhodeIsland201005xx.txt which has patient charts.  Open Excel, click on Open and in the browse box navigate to the export directory.
2. Set the file type box (under the file name box) to ‘text files’.
3. Find the desired chart file.
4. Click on the file name.
5. Click Open to get to the import wizard.
6. Check delimited and Next.
7. Check the Other box, and in the box next to it enter the pipe character ‘|’.  You will usually find this in the upper right of the keyboard above the ‘\’.  Click Finish.  (On some keyboards there is a break in the middle of the character)
8. Your data is now in Excel format with the field names in the top row.
9. If you have multiple sites in your database, the ICU for each chart is identified in the site field.
10. Save it in My Documents as an Excel workbook.
